Record a spoken note on any record, get an encrypted transcript, an AI summary, and auto-created follow-up tasks.

Voice notes let you capture a thought out loud against a deal, account, or contact — and turn it into a searchable transcript, a summary, and follow-up tasks without typing.

Recording a note

Open the voice-notes panel on a record's detail page and record against the deal, account, or contact. On mobile and touch devices, a press-and-hold floating mic lets you capture hands-free.

Voice notes are gated twice before any audio is captured:

  • A workspace feature flag must enable the feature.
  • A per-user recording consent must be given. A first-use disclosure must be accepted, and without consent, recording is blocked.

No consent, no recording

Recording is blocked until the first-use disclosure is accepted. Consent is per user, not workspace-wide.

How a note is processed

  1. Audio is encrypted at rest.
  2. It's transcribed using your workspace's own AssemblyAI key, entered through the in-app credential UI.
  3. The transcript is summarized by a live AI summary (a Claude Haiku call).
  4. Each detected action item becomes a follow-up task on the record's timeline.

AI runs only when configured

The AI summary calls a live model. It runs only when AI is configured for your workspace.

Working with your notes

  • Notes are listed newest-first.
  • Audio is replayable directly from the panel.
  • A transcript excerpt plus sentiment is written to the audit log.

Limits

Maximum audio size is 25 MB per note.

Privacy

Audio is encrypted at rest, and transcription uses the AssemblyAI key you supply in your workspace's credential UI.
